Privacy Policy

This policy explains how RentPayor handles information when landlords, property managers, tenants, and other users interact with the mobile application, website, support channels, payment workflows, and related services.

Information you provide

RentPayor may store account details such as your name, phone number, email address, business information, and authentication identifiers. The app also stores rental records you create, including properties, units, tenants, leases, invoices, operational expenses, and notes.

Payment and reconciliation information

RentPayor may store payment information needed to initiate, reconcile, audit, and support rent payments, including amount, currency, tenant phone number, transaction date, payment or provider references, M-Pesa receipt number, invoice allocation, carried-forward credit, payment status, and generated receipt details. Payments recorded manually may also include optional payer information and notes.

Settlement-account information

When online rent collection is configured, RentPayor may process business and settlement-account information needed to provision and verify the payment-provider account. Sensitive provider credentials are protected and payment-provider responses may be stored in redacted form for operational and audit purposes.

Payment service providers

Eligible online rent collections use external payment services and financial institutions to initiate and process the M-Pesa payment flow and settlement. Those providers may process information such as business details, settlement-account details, tenant phone number, payment amount, transaction identifiers, and payment status under their own privacy and security obligations.

Platform Fee information

RentPayor stores monthly Platform Fee invoices and related payment records, including amount, status, phone number, provider references, and receipt details. Platform Fee records are not used to determine access to landlord features.

How we use information

We use information to authenticate accounts, provide the rental workspace, generate invoices, initiate eligible online payment requests, reconcile confirmed payments, calculate balances and arrears, maintain payment history and receipts, administer Platform Fee billing, respond to support requests, prevent abuse and duplicate payment records, and improve reliability.

Service providers

We may use infrastructure, database, authentication, payment, and customer-support providers to operate RentPayor. They process information for the services they provide and under their own security, privacy, and contractual obligations.

Sharing and sale of personal information

We do not sell personal information. We may disclose information when required by law, to protect users or the service, to investigate abuse, or to service providers necessary to operate RentPayor and complete requested payment workflows.

Data retention

We retain information while your account is active and as reasonably needed to provide the service, maintain business and financial records, resolve disputes, prevent fraud, enforce agreements, and meet legal obligations. Retention periods can vary by record type and applicable law.

Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information. No online service can guarantee absolute security.

Your choices

You may update available account information, stop using the service, or submit an account or data deletion request through the RentPayor deletion page. Some payment or business records may need to be retained where required for fraud prevention, dispute handling, financial records, or legal obligations.

Children's privacy

RentPayor is intended for landlords, property managers, and adult tenants using rent-related workflows. It is not directed to children under 13, and we do not knowingly collect personal information directly from children under 13.

Policy updates

We may update this policy as RentPayor changes or legal requirements develop. The effective date on this page will be revised when material updates are published.
