How Tenants Pay Rent with M-Pesa in RentPayor

Paying rent is simple only when the payment, the invoice, and the receipt all point to the same thing. For tenants, the most useful starting point is not a phone number or a payment notification—it is the rent invoice for the right home and billing period.

RentPayor gives a tenant a clear path from an outstanding invoice to a confirmed payment record. This guide explains what to check before paying, what happens when you choose Pay with M-Pesa, and how to tell the difference between a payment prompt and a completed rent payment.

Start with the invoice, not a message

Open the invoice in the tenant app before you begin. The invoice is the reference point for the payment because it can show:

  • The landlord, unit, or property connected to the tenancy
  • The billing period and due date
  • The amount due
  • The amount already paid, if any
  • The outstanding balance

That small check prevents common mix-ups. For example, a tenant who has already made a partial payment should not assume the original invoice amount is still the amount to pay. The outstanding balance is the figure that matters for the next payment.

It also helps to make sure the invoice belongs to the intended unit and period. A rent payment is easier for everyone to understand when it is tied to a specific invoice instead of being treated as an isolated transaction.

The M-Pesa payment workflow

For an eligible invoice with an outstanding balance, the tenant can select Pay with M-Pesa in RentPayor. The usual flow is:

  1. Open the outstanding rent invoice.
  2. Review the amount due and the remaining balance.
  3. Choose Pay with M-Pesa.
  4. Enter the M-Pesa phone number that should receive the payment prompt.
  5. Review the request and approve the prompt on that phone.
  6. Wait for payment confirmation in the app.
  7. Open the receipt once the payment has been recorded.

The phone-number field deserves special attention. It is the number that receives the M-Pesa payment prompt; it is not the landlord's receiving number and it is not a destination for rent funds. In the supported online flow, rent is sent to the landlord or property manager's configured supported bank account rather than held in a RentPayor wallet.

A payment prompt is not payment confirmation

A prompt tells you that a payment request has been sent to the selected M-Pesa phone. It does not, by itself, prove that the payment was completed.

A request can still need approval, fail, expire, or remain unconfirmed. Before treating the rent as paid, wait for the app to show a completed payment and for the invoice record to update. After confirmed payment, the tenant can access a receipt and the payment is associated with the relevant invoice.

This distinction matters for both sides of the tenancy. A tenant avoids assuming rent is settled too early, while a landlord or property manager has a record connected to the actual invoice rather than relying on a screenshot or an unverified prompt.

What to do when the invoice is partly paid

A rent invoice can be partially paid. In that case, RentPayor can show both the amount paid and the balance that remains outstanding.

Suppose rent for the month is KES 20,000 and KES 12,000 has already been recorded. The next payment should be considered against the remaining KES 8,000, not treated as a fresh, unrelated payment. Opening the invoice before paying makes this visible.

If a tenant makes an online payment through the supported invoice flow and it is confirmed, the invoice can be reconciled without the landlord manually re-entering that payment. Keep the receipt after confirmation

A receipt is useful after payment because it gives the tenant a record tied to the payment that was actually recorded. It is more helpful than relying only on a chat message or a memory of approving a prompt.

When reviewing a receipt or an invoice after payment, check that the key details make sense:

  • The invoice is for the intended tenancy and billing period.
  • The recorded amount matches the payment you approved.
  • The invoice balance has changed as expected.
  • The receipt is available for the completed payment.

If something does not look right, raise it with the landlord or property manager using the invoice and receipt details. Clear references make a question easier to resolve than a vague report that rent “was paid.”

If you paid outside the in-app flow

Not every rent payment is necessarily made through the in-app online payment path. When a tenant pays by another method, the landlord or property manager can manually record a direct payment against the invoice, including the amount and transaction date, with optional payer details, reference, and notes.

That is different from claiming the app automatically discovers every external transaction. The practical step for a tenant is to share the relevant payment details with the landlord or manager, then confirm that the invoice reflects the recorded payment. If the payment only covers part of the invoice, the remaining outstanding balance should still be visible.

A simple tenant checklist before you pay

Before approving a rent payment prompt, take a minute to check:

  • Is this the right invoice, unit, and billing period?
  • What is the outstanding balance right now?
  • Is the M-Pesa phone number entered the one that should receive the prompt?
  • Have you approved the request only after reviewing it?
  • Has the app confirmed payment and provided a receipt?

That routine is short, but it keeps rent payments traceable from the tenant's decision to the invoice record. For landlords and property managers, it also reduces follow-up work because confirmed online payments are connected to the relevant rent invoice.

The practical outcome

The goal is not simply to send money. It is to leave a clear record of what rent the payment settled, what remains outstanding, and where to find the receipt later.
